Question
I
refer to records management and archiving, and I ask:
(a) for
each of the last five financial years finishing 2016-17, for each Government
agency within the Minister’s portfolio, could the Minister please provide the
cost of records archiving services including:
(i) collection;
(ii) storage;
(iii) retrieval; and
(iv) destruction;
(b) for each of the last five financial years,
finishing 2016-17, for each Government agency within the Minister’s portfolio,
could the Minister please provide the cost of records management consultancy
services provided by:
(i) the
State Records Office; and
(ii) private consultants and/or consultancy
businesses; and
(c) for
each Government agency reporting to the Minister, could the Minister please
explain the process by which records held offsite by third-party private
companies can be searched and accessed by:
(i) members of the agency;
(ii) members of other Government agencies;
(iii) members of academia; and
(iv) members of the public?

Department of Planning, Lands and Heritage
(i) A record may be requested by a Department of Planning, Lands and Heritage (DPLH) officer either through the DPLH records management system or by internal email to the DPLH records team.
(ii) A record may be requested by another government agency via email or post.
(iii)-(iv) A record may be requested by academia or members of the public by email or post, or via Freedom of Information (FOI) application.
Metropolitan Redevelopment Authority
(i) The Metropolitan Redevelopment Authority (MRA) team would access the required information via the secure online portal.
(ii) Via formal request to the appropriate officer who will assess the request and where deemed suitable, will coordinate the retrieval of the record via the Records team.
(iii)-(iv) Via formal request to the appropriate officer. If the record is public knowledge, then the retrieval of the record will be organised via the Records team. If the record is not public knowledge, then a formal FOI application is required to be lodged to determine the retrieval and level of release.
